What is a payment option

A Payment option provides a method of Payment for the Membership plan.
Each Membership plan must have at least one Payment option.

Multiple Payment options can be assigned to each Membership plan to allow multiple methods of Payment or multiple prices per Branch.

If a Branch has no published Payment option for a Membership plan, the Membership will be unavailable in that Branch.

 
 

Navigation

Payment options are created and managed at Organisation level, but can also be viewed at
Branch level:

 

Organisation level

To create, view or modify Payment options:
Navigate to the Organisation view (light coloured menu)
Click on Management

Branch level

To view Payment options at Branch level:
Navigate to Branch level (dark coloured menu)
Select a Branch (optional)

Click on the Membership plan you want to view Payment options for:

Note: You can only edit a Membership plan at Organisation level. Therefore, at Branch level, the Membership plan's Kebab menu (to the right of the Membership plan) is not displayed.

You can only edit a Payment option at Organisation level. However, at Branch level the Kebab menu (to the right of each Payment option) is displayed. The edit option at Branch level enables you to set the Branch Billing Account (BBA) associated with the Payment option only. All other changes to Payment options must be done at Organisation level.

 

Payment option details

At Organisation level, click on a Payment option name to view its details:

Payment options contain the following information:

  • the Term (e.g. 6-month gym membership)
  • the regular Payment amount (how much per week/how much up-front)
  • the Promotion payment amount (how much per week is it during the Promotion period)
  • the Promotion duration (how long does the Promotion period run for)
  • where the Membership can be sold (which Branch(es) or Branch group(s))
  • the Sale term (a Start date and End date for when the Payment option can be offered)
  • the amount of Free period offered to the Member (e.g. 1st week free)
  • the Joining fee (a one-off Payment for signing up)
  • the Access card fee (fee to administer a gym access card)
  • the Suspension fee (fee for suspending your gym Membership temporarily)
  • the state of the Payment option displayed as Tags
 

Option

Note: The default name is "Payment option".
The default description is dynamically created whenever you alter the Term field, Payment fields, Promotion payment fields or Fees fields:

If the Name field is blank, "Payment option" is used for the name.
If the Description field is blank, "Payment option" is used for the description:

The default name and description can be overwritten with your own custom name and description:

If Promotion payment is selected, a badge Promo_badge.png is displayed:

Lists which Branch(es) or Branch group(s) the Payment option is available in:

Note: If a Branch is not listed in a Payment option for the Membership plan, the Payment option will not be available in that Branch.

If a Branch is not listed in any Payment options for the Membership plan, the Membership will not be available in that Branch.

If a Branch group contains Branches from multiple countries, Payment options will only be available to Branches within the same Country as the Membership plan. A warning symbol Warning.png is displayed to advise that although the Branch group covers multiple Countries, the Payment option will only be available to Branches within the Country the Membership plan is configured for. Hovering over the warning symbol will advise which country the Payment option will be available in:

Price

Payment_option__price_.png

Displays the reoccurring charge for the Membership.

Note: Payments are either:

  • a one-off payment (fixed End date)

  • a recurring payment (e.g. Weekly, Fortnightly, Monthly)

 

Card fee

Displays the one-off charge for providing the Member an Access card.

 

Join fee

Payment_option__join_fee_.png

Displays the one-off charge for signing up a Member to the Branch.

 

Tags

Payment_option__tags_.png

Payment option tags indicate the following:

 

Billing.png

A Billing tag indicates the Payment option is a recurring Direct-debit method of Payment.
 

Draft.png

A Draft tag indicates the Payment option has not yet been activated (Published), therefore is not visible to Staff members. Memberships cannot be created using Payment options that have a Draft tag.
 

Published.png

A Published tag indicates the Payment option has been Published and is visible to Staff members. Memberships can be created using this Payment option.
 

Archived.png

An Archived tag indicates the Payment option has been disabled. Memberships cannot be created using Payment options that have an Archived tag. Archived Payment option cannot be activated again.
 

Kebab menu

The Kebab menu is a contextual menu that allows you to perform other functions with a Payment option, such as editing, publishing, duplicating or archiving the Payment option.

Payment option search

The Payment option section can be filtered to display Payment options that meet your filter criteria.
Using the options at the top of the Payment option section you can:

 

Search for specific payment options

Use the search box to search for Payment options by their name:

Search for any Payment options containing a specific letter:

Search for any Payment options containing a specific word:

Filter by branch

Filter Payment options that are only available in specific Branches:

Note: Only Branches in the same Country as the Membership plan are displayed.

Multiple Branches can be selected:

To remove a Branch from your selection, click X to the right of the Branch:

Filter by status

Filter Payment options by their Status:

Remove all filters

To remove all filters, click Reset filter
