Ad hoc SMS correspondence

Overview

This article guides you through the process of sending an Ad-hoc SMS (Text) message to a single
Member.

Prerequisites

An active account with an SMS gateway provider must be established to enable SMS correspondence via Clubware. Clubware is currently compatible with MobiPost and IntelliSMS SMS gateways.

 

Role

Your Role must have the Send ad hoc SMS Permissions.
Preset Roles that have this Permission are:

• Admin
• Master Franchiser
• Franchisee
• Branch Manager
• Receptionist

 

Scope

You must have an Admin, Master Franchiser, Franchisee, Branch Manager or Receptionist Role in the Branch the Member you wish to send an SMS (Text) message belongs to.

Use case

Ad-hoc SMS (Text) messages can be used for various purposes:

• Book an appointment
• Provide follow-up information
• Advise payment information (e.g. overdue, or amended)
• Advise of Class changes
• Reminders

The advantage of using Clubware to send an SMS message is that the correspondence is lodged against the Member's Notes with a date/time stamp.

Note: Automated SMS messages display "Gym" as the sender's name, whereas Ad-hoc SMS messages display the Staff member's name as the sender's name. All SMS messages can contain text and emojis.

 

Navigation

Ad-hoc SMS messages are sent via the Member profile at Branch level.

 

Branch level

To send an Ad-hoc SMS message to a Member:
Navigate to Branch level (dark coloured menu)
Select a Branch (optional)

Click on Members

 

Send an ad hoc SMS message

To send an Ad-hoc SMS message to a single Member:

		Select the Member from the Member list
		Scroll down to the Member Notes
		Select SMS Note: If the SMS button is not present, ensure the Member has a mobile phone number entered in their Member profile.
		Type the message you wish to send Note: Each text message contains a maximum of 160 characters. When the maximum is reached, another text message is automatically created, which will alter how much you are charged by your SMS gateway. A counter next to the Send SMS button displays "character count/SMS message count". e.g. 160/1. If the SMS message count displays more than one, Members will receive the multiple SMS messages as one text.
		Click Send SMS
		The Ad-hoc SMS message will be displayed with the name of the Staff member that sent the Ad-hoc SMS message and a date-time stamp of when the Ad-hoc SMS message was sent:
