Prerequisites
An active account with an SMS gateway provider must be established to enable SMS correspondence via Clubware. Clubware is currently compatible with MobiPost and IntelliSMS SMS gateways.
Automated rules must be pre-configured by Clubware before Automated SMS correspondence can be sent. To set-up Automated rules, please contact Clubware Support.
Role
Your Role must have the Manage correspondence Permission.
Preset Roles that have this Permission are:
- Admin
- Master Franchiser
- Franchisee
- Branch Manager
Scope
To activate/deactivate Automated rules, you must have one of the above Roles within the Branch.
All Roles are able to view which Automated rules are activated within each Branch.

Use case
Automated SMS correspondence sends SMS (Text) messages to your Members automatically, when certain criteria are met.
The messages and criteria are defined by Automated rules:
Automated rules are configured by Clubware on request.
There is no limit to how many Automated rules you can have.
Once an Automated rule is configured, it can be activated/deactivated within each Branch by any Staff member that has the Manage correspondence Permission for that Branch.
Note: SMS (text) messages are autonomously sent every day except for Sundays (local time). Should an Automated rule be scheduled for a Sunday, it is rescheduled to send the SMS (text) message the following day (Monday).
Navigation
Automated rules are activated/deactivated at Branch level only:
Branch level
To activate/deactivate an Automated rule at Branch level:
Navigate to Branch level (blue menu)
Select a Branch (optional)
Click on Correspondence
Activate an automated rule
Once Clubware has pre-configured your Automated rules, they can be activated in the Branches you want them to be used.
To activate an Automated rule:
Click on the three vertical dots (on the right-hand side of the SMS description) |

Click Enable Rule |

The Automated rule will be applied to the SMS and icon will change from grey to purple: |
Deactivate an automated rule
To deactivate an Automated rule:
Click on the three vertical dots (on the right-hand side of the Automated rule) |

Click Disable |

The Automated rule will be removed from the SMS and the icon will change from purple to grey: |
Edit an automated rule
To edit an Automated rule:
Click on the three vertical dots (on the right-hand side of the Automated rule) |

Click Edit |

Click the Enable rule option to turn the automated rule on. |

Click Save |
