Add an access card (member)

This article guides you through the process of adding an Access card number (or FOB number) to a Member.

Prerequisites

Role

Your Role must have the Manage member Permission.

 

Scope

You must have a Role within the Branch the Member "Belongs to".

Use case

Gyms that use Access control systems to manage their doors, would allocate an Access card (or FOB) to each Member of the gym. Each Member will also be granted an Access level specifying which times and which doors they can use.

Clubware can be configured to interact with the Access control system enabling you to add a Member's Access card number (or FOB number) directly into Clubware. Once an Access card number has been allocated to a Member, their Access level is controlled by the Membership they have purchased.

 

Navigation

Access card numbers are added at Branch level within the Branch the Member "Belongs to":

 

Branch level

To add an Access card (or FOB) number:
Navigate to Branch level (dark coloured menu)
Select a Branch (optional)

Click on Members

 

Add a member's access card

To provide access to the gym, a Member can be assigned an Access card number (or FOB number).
The Member's Membership specifies which Access level will be granted with the Access card.

Note: Both Members and Prospects can be allocated Access card numbers, however, without a Membership to specify which Access level should be granted, a Prospect will still not be able to use their Access card.

To add an Access card for a Member:

		Select the Member from the Member list
		Click Add in the Access card panel (bottom right-hand side)
		Enter the Access card number
		Click Add
		The Member's Access level and Access card number are now displayed in the Access card panel: Note: 26-bit cards are used if the number is < 62000 38-bit cards are used for numbers > 62000.
