Prerequisites
The person signing up must:
- be added to Clubware as a Member or a Prospect
- have a valid email address that they have access to, in order to complete the process
Use case
This article relates to the first-time sign-in process that a Member or Prospect must perform, to set their preferred password, in order to log in and book Classes.
The Member Website enables Members or Prospects to view Classes without the need to log in, however, if a Member or Prospect wishes to book a Class, they must log in to the Member Website.
Note: The Branch the Member performs the first-time login is irrelevant, however, we recommend the Member is only given their Home branch Member WebsiteURL (where they will be Booking Classes).
The Member Website URL can be provided to the Member either by:
- a link on the gym website (requires your website developer to create the link) or
- a Staff member providing the Member Website URL to the Member via email or social media

Member not found
If a Member or Prospect is sent an email advising "The member is not found", they will be provided with a link to sign-up for a Membership within the Branch they performed the First-time sign-in process:
The link will invite the Member or Prospect to sign-up within the Branch they performed the First-time sign-in process:
Note: If a Member already has a Membership, but were directed to the sign-up page, ensure they are signing up with the same email lodged in their Member profile.
Multiple members with the same email address
If a Member or Prospect is sent an email advising "There is more than one member associated with this email address", they will not be able to complete the process and will need to contact the gym to resolve this.
Staff members will need to ensure each Member or Prospect has a separate email address if the Member or Prospect wishes to continue signing in with their email address.
Staff members can perform a reciprocal search in the Member list (search using the full email address) to search for all Members or Prospects that share the same email address.
Other Members sharing the same email address will need to use another email address as it is no longer possible to share the same email for multiple Members or Prospects.
